Reviews Pro respects your privacy. This notice applies when you visit reviewspro.co.uk, contact us or use the Reviews Pro service. It should be read alongside any additional privacy information shown inside the service.

1. Who we are

Reviews Pro provides tools that help businesses collect, monitor, respond to and display customer reviews. Reviews Pro is the controller of the personal data described in this notice unless we are processing data only on a customer’s instructions.

2. The data we collect

The information we handle depends on how you interact with us. It may include:

  • Contact and account details — your name, business name, email address, telephone number and sign-in information.
  • Service information — account settings, connected review profiles, review content, responses, invitations and actions taken within Reviews Pro.
  • Enquiries and support — messages you send us and information needed to answer or resolve your request.
  • Technical information — IP address, browser, device, operating system, pages viewed and approximate location derived from an IP address.
  • Billing information — subscription and transaction details. Card details may be handled directly by our payment provider rather than stored by Reviews Pro.

We receive information directly from you, from businesses using Reviews Pro, from review platforms connected at a customer’s request and from service providers that help us operate the service.

Where we rely on legitimate interests, we consider the impact on your rights and use personal data only where those interests are not overridden by your interests or fundamental rights.

4. Cookies and analytics

Our website stores your analytics choice in your browser so we can remember whether you accepted or declined. This preference is necessary to respect your selection.

Google Analytics is optional and stays off until you select “Accept analytics”. If accepted, Google Analytics may set first-party cookies including _ga and _ga_<container-id>, normally for up to two years. These help distinguish visits and maintain session information. We use Google Analytics to understand broad website usage, with IP anonymisation enabled and advertising personalisation signals disabled.

5. Who we share data with

We share personal data only where needed to run Reviews Pro, follow your instructions or meet legal requirements. Recipients may include hosting and infrastructure providers, Google Analytics when you consent, payment and communications providers, professional advisers, regulators and law-enforcement bodies where required.

When a customer connects a review platform or asks Reviews Pro to send or publish information, relevant data may be shared with that platform under its own terms and privacy policy. We do not sell personal data.

6. International transfers

Some providers may process personal data outside the UK. Where this happens, we use an applicable adequacy regulation or appropriate safeguards, such as the UK International Data Transfer Agreement or an approved addendum to standard contractual clauses.

7. How long we keep data

We keep personal data only for as long as it is needed for the purpose collected, including to provide an account, resolve an enquiry, meet legal and accounting duties, prevent fraud and handle disputes. Retention periods vary according to the type of information, the sensitivity of the data and any legal requirements. We securely delete or anonymise data when it is no longer needed.

8. Your rights

Depending on the circumstances, UK data protection law gives you the right to ask for access to your personal data, correction, deletion, restriction, portability or an objection to certain uses. Where processing is based on consent, you may withdraw that consent at any time without affecting earlier lawful processing.

9. Security and children

We use appropriate technical and organisational measures designed to protect personal data against unauthorised access, loss, alteration or disclosure. No online service is completely risk-free, so we review and improve our safeguards as the service develops.

Reviews Pro is a business service and is not intended for children. Please do not provide us with a child’s personal data unless there is a lawful and necessary reason to do so.
